Our university's efforts regarding personal information protection

Chiba University of Commerce recognizes the importance of protecting personal information and will handle it appropriately in accordance with the guidelines and standards set out in the Act on the Protection of Personal Information and other relevant laws and regulations.

Notes

1. Purpose of Use of Personal Information

Personal information provided by students, alumni, examinees, guarantors (parents, etc.), faculty and staff, and people outside the university will be managed as personal data and used within the scope necessary for the university's education and research, student support, and university management and operation, as described below. If personal information is received for purposes other than those listed below, the purpose of use will be clearly stated each time.

  1. (1) To send notifications and contact regarding business related to our university
  2. (2) To ensure smooth operation and improvement of classes
  3. (3) To manage student records, courses and grades, and provide consultation on grades and courses with guarantors, etc.
  4. (4) To manage scholarships, various grants, health management, support for student life and extracurricular activities, and provide employee benefits.
  5. (5) To support career development, create and manage employment-related information, and manage information regarding post-graduation career paths
  6. (6) To carry out business related to overseas study, language training, etc.
  7. (7) To carry out tasks related to the residence management and support of international students
  8. (8) To manage employment and pay salaries when working part-time or other jobs within the university
  9. (9) To issue various certificates
  10. (10) To manage tuition fee information and bank account information
  11. (11) To select students, administer entrance examinations, recruit students, and provide pre-enrollment education
  12. (12) To manage the use of campus facilities and equipment, such as Library, sports facilities, classrooms, and conference rooms, as well as the use of the ICC network, and to manage video information from security cameras.
  13. (13) To send the university’s newsletter, commemorative magazine, event information, etc.
  14. (14) To carry out self-inspection and evaluation, third-party evaluation, various subsidy applications, various statistical surveys and notifications, and other operations related to IR (Institutional Research)
  15. (15) To manage personnel and service affairs of faculty and staff, pay salaries and allowances, and provide employee benefits
  16. (16) To carry out business related to the overseas dispatch of faculty and staff members, etc. for overseas research
  17. (17) To manage donation information and carry out operations related to fundraising activities
  18. (18) To apply for and renew teaching and other qualification licenses
  19. (19) To operate qualification examinations, courses, events, etc.
  20. (20) To provide necessary information to partner universities
  21. (21) To provide necessary information to Chiba University of Commerce Alumni Association and Chiba University of Commerce Education Support Association
  22. (22) To provide necessary information to CUC Support Co., Ltd. and Chiba University of Commerce Commerce Co-op
  23. (23) To confirm the safety of and contact individuals in the event of a disaster
  24. (24) In addition to the above, to process matters necessary for the management and operation of the University

2. Change in purpose of use

If there are any changes to the purpose of use of personal information provided by students, alumni, examinees, guarantors (parents, etc.), faculty and staff, etc., or from outside the university, we will notify you or make an announcement in writing or on the official university website, etc.
Please note that the revised Personal Information Protection Policy will also apply to personal information provided through the University's official website prior to the change.

3. Safety Control Measures

The University will establish a university-wide system to prevent the leakage, loss, or damage of personal data and to otherwise safely manage personal data, and will provide necessary and appropriate supervision to faculty and staff.

4. Use and provision of personal information

When using personal information, the University will not use it beyond the scope of the purpose of use previously disclosed, nor will it provide personal data to third parties, except when required by law or with the prior consent of the individual.

5. Outsourcing

The University may provide certain personal data to contractors within the scope necessary to achieve the purpose of use. In doing so, we select contractors that are deemed appropriate, conclude contracts with them to prevent the personal data from being leaked, lost, damaged, or otherwise used improperly, and require them to manage the data appropriately and strictly.

6. Website Usage

This Privacy Policy also applies to personal information provided by you through our official website. If you do not agree with the purpose and purpose of use of this Privacy Policy, please refrain from providing us with your personal information. However, please note that in that case, you may not be able to use the services provided by our official website.

7. Disclosure, correction, deletion, etc. of personal information

If an individual requests the disclosure, correction, addition, deletion, suspension of use, or suspension of provision to a third party of their personal information, we will respond promptly.
We will also endeavor to handle any complaints appropriately and promptly.

9. Amendments and Repeals

Any changes or abolitions to this initiative will be handled by the Chiba Gakuen School Corporation's Personal Information Protection Committee.
